I met with Brandi this afternoon to go over what wasn't quite right for her. She would appreciate more communication. Her personal number is (315) 237-1830.

This is how she found things and this set up does not work for the flow of The Commons.

On a separate note, the LaPierre was not securely locked.

The bikes are okay to stay during the week if they are stacked neatly and away from the Legos and big table. This door is not a fire exit and okay to block. See below.

The umbrella can be stored outside with the others. I labeled it "Seattle Electric Bike"

The totes and helmets may go upstairs in the office.

Stefan and Heidi say yes to rental business for next year. Open Friday - Sunday. close at 4 if no rentals. Start time is 11.

Next year we are only going to use Bosch's. No throttle's.

Did rentals to sales? Stefan said yes to some degree. Gina reminded that customers noted their positive experience with the rentals and as a result are saving to purchase. These folks are in our system so will get newsletter when sales are happening, etc.

Don't want to chip away about bike margin. Better to give away accessories like water bottles when promoting bikes.

Keep end goal in mind - SELLING BIKES and always being mindful of our local community! When people rent = a paid test ride.

Heidi will write newsletter for our island partners - I will deliver to the partners. Will include a coupon updates, etc.

First weekend in March - work the whole show. Put on FB too.

Next summer - only open Fri, Sat. Sun (perfect job for one person). Heidi offered it to me. Stefan may want to be out here on Fridays which would free me up to do tours?? I said I am definitely interested AND we need to check in as we get closer to summer.

Heidi is going back to Hawaii on Nov. 11th. Maybe things I can help with (office, house, etc.). Heidi will let me know before she leaves.

5. Commons want us to come back. Stefan wants to do a weekly concert series in conjunction with the commons. If we sponsor, we can make an announcement.

6. Opening early didn't work. Start at 10 next season unless people make a reservation.

7. Make written document - people in charge at the commons with our staff contact info. - established protocol what to do if we need to reach each other.

9. Stefan thinks we should do a weekly scheduled tour. Heidi thinks we should we should do both.

TO DO Notes for Saturday 9/19/2015

Good Morning, Gina!

Expect some rentals (see below about Expectation! :)--it's Djangofest starting next Wednesday, and a few more events next weekend attracting folks to the island. I heard today that the Friday Farmers Market goes for 2 more weeks. We might have to consider closing sooner than planned if we don't get some more business this month. :( Sad but happy we have had a good and educational first year :)

Bike storage
I think we'll just have to move the bikes unless we can find a secure, enclosed storage garage in Langley. I'll come at 4:15 Sunday so we can load bikes. Next Friday, Stefan can bring the bikes to you. Next Sunday I'll be gone and he'll probably be in the shop, so you'll have to lock them up at SWC, and he'll come get them on Monday or Tuesday morning. Please let Brandi know this for next week.

Battery Keys and locks/keys
Please inventory all battery keys and lock keys on a regular basis. We always "Expect" to have customers! We always want to practice "Expectancy" by being ready (we don't want to have to scramble to find the things the customers need for their ride).

A list to inventory bike battery keys was done once before but it was not very useful because it referenced "bike #1, etc.", and we need more information in order to track down missing keys, or find homes for spares. See below for ideas on how to identify bikes/keys.

For now, make a list of which bikes we have that do or do not have battery keys, and if they do have keys, how many are there. Separate out the keys that do not go to anything. I tried to do this today but not sure I got them all.

I know you have one-only U-lock, and I found another key to match that lock, in one of the bike bag pockets, and put it together with the key we had. We should number locks as L1, L2, etc, and not try to match them to a bike--just make sure each bike has one.
I hope to find the missing u-locks in the shop this weekend.

Chargers should also just be labelled by brand: OHM or Bosch or EM.
And inventory them regularly as well to make sure we have enough for each bike, or at least one for each battery type.

For batteries, we should change our labeling system to the make/model name and add numbers when we have more than one. So for now list the bikes as OHM LS, EM Xenion, EM Street, LaP 16" (the 16" is frame size since that is the only difference between it and the other LaPierre, which may come back to rentals). Then we only have to add numbered labels to the bikes that are duplicates.

We should have thought of this before when we realized we would not be using just EM Street models for rentals. Hindsight is 20/20, as they say.

Also please make sure our current lists reflect the bikes on the site by serial number. The insurance form, and a master list in docs that we can update.

The master list should show when bikes are added to the rental site--by make/model and SN#--and then when they are removed. We would need to have a really accurate record system to make any kind of insurance claim.

The SN# is the only way we have to be entirely sure which bike we are talking about. And that is the way we track them in LS. I am trying to have everyone in the shop update LS to reflect whether the bike is at rentals or the shop as well. So we'll have it in LS and on our master rental list.

We should also track the key numbers if they have one, and double-check this regularly, and at least every time a bike leaves and comes back, since sometimes batteries get switched! If a battery gets switched, we should always get the original back--unless Stefan makes the switch official.

You might make a note as to how to identify keys as I was showing you today--OHM keys are the BionX battery and they are solid silver; Bosch keys have AXA on them or something like that; ABUS is a lock manufacturer; EM keys have the little brown tag with numbers on it (heaven forbid the tag should get separated!). The thing to remember is that Bosch keys can be on models made by several brands--Easy Motion Xenion, all Felt and LaPierre models, and our new CUBE bikes coming in 2016.

The models could change for next year, depending which models we use for rentals and tours, but clearly we will need better systems for organizing and tracking keys for batteries and locks. And anyone working at the rental sites should familiarize themselves with the bikes and the style of batteries, and battery keys.

So some of this will be more relevant when we start up next year and we can save the information in the operations manual.

The bikes were not actually locked up after you left. You forgot to attach the end without the lock to anything! I just hid that end since I think you had the lock key. Please double-check this always when you leave. Do we have a spare key for that lock? If not, we should get one, or get a lock that has a pair. Please let me know. Thanks.

Spoke to brandy about keeping the bikes in the commons all week. Only problem she sees is Thursdays from 1-4. She is willing to give it a try. Worst case is I come down and move the bikes outside during this time.

FYI...one of the bikes was not locked up over night. Please let me know if you'd like me to show you how to stack them side by side so they take up the least amount of space and can be locked together most easily. David had the LaPierr next to the outlet and they four white bike together and they works really well. There are seven bikes here now so it will be essential to stack them tonight at close. I think it should look orderly when we leave the bikes for the day.

Bob Weber has called a couple of times regarding the Farm Tour. If he calls again, please direct him to Heidi and her personal cell (206) 617-5622. There has been confusion in communication and it would be best if one person continues the conversation with him.

It was not clear in my communication with Stefan which bike was not to be used if we could help it. It is not the one with the price tag but rather the Xenion without the number on it. Stefan would like the EastMotion charged but we do not have a charger for them.  I would encourage more communication when rentals are taken or show up. It seems like there were a lot of changes while I was gone this week me and there are no notes about it in the blog or in the WIEBR binder. 

The PayPal card reader is missing...was it there yesterday when the tablet was plugged in? Stefan had an extra he was able to lend.

Cathy said review board couldn't approve our new sign because it was just a sketch and didn't include details (color, ect.) She highly recommended that we go for early approval by making the sign in advance and putting it forward with her help- she thinks it will be approved or attend the meeting on the 15th.

I left voicemails for Heidi and Stefan about shutting down early. I spent the morning at the coffee shop but the wind is still really fierce and knocking things over. I never actually put the bikes out in fear of them being blown over again. I can't imagine it would be safe to send people out on bikes with trees still coming down. Erika, this morning's barista encouraged us to shut down and Brandi helped me close. Our office materials are upstairs. I hope you both feel like this was a good call on my end.

Accident Aug 18

Dog escaped from UBCC tied to a metal chair and crashed into me(Bekah) from behind Ohm #2 near the bank while I was opening. The force of the chair bent the fender into the wheel so it wasn't functional. Derailer has been damaged. Stefan arrived right after the accident and has spoken with the owners.

Met with Brandy and Sue about giving out samples to stir up more business for us (they are happy with how busy they are) - I reminded them that if we do well it equals means more money for them. Brandy needs to think about logistics of baking extra, etc. We talked about gluten free energy bars. She thought perhaps we can start by doing this a couple days a week on the heavier traffic flow days.

Chamber called to say our paperwork was submitted and we are on their site but no payment has been given. They will prorate.

Aug 14th EOD Bekah

We are closing early today as a result of the lightning and intense rain. Sue brought up what we would do with the expected lightening storms and we discussed with Brandi the bikes being put in the back early. She was in full support of  an early close for WIEBR and simply asked that we clean the floors, which will be done again before I go. 

Stefan and I worked on trying to add Gina and I as Admins on Facebook. It looks like the Facebook page was created with a different account and I'm wondering if Gina has additional information about how that was started. Although I manage numerous pages, I was unsuccessful at adding us through stefan's iPad. It appears that he is not a real person on his account...it's strange. I couldn't even add myself or Gina as a friend. We didn't come up in a search for people either. 

I have been posting to Instagram which also gets a lot of hits by ebike fans. It be great to be able to post to WIEBR Instagram page. Do you mind if I work on setting that up via out WIEBR gmail account? Do we have a document with our passwords that could be made available to all of us?

I reminded Stefan to return the ohm charger he borrowed from us.

Farm Tour

Ride:
langley to bayview (on the way, stop at Burr Oak Acres and have juice) to maxwelton
on the way to bayview (beautifully renovated farm store) we will stop at local farms and have a farm fresh lunch.
langley, bayview, spectacular maxwelton valley. with optional extended side routes depending on participant desires.
Stefan can take people to clinton if people want heavier ride while I stay with leisurely group.
Stefan will pull trailer to pull peoples farm food purchases.

Called and spoke with Keith@bayviewfarmandgarden.com - the promo guy. He likes the idea of promoting each other for tour and beyond. sent preliminary info with our web site. Don't see it. Have contacted again and Keith left - left a message for the owner - she is sick (Maureen).

Lmessages for 7thgeneration,  glendale (spoke with them -- see below),  burr oaks. Full cycle said no cuz they r at the farmers market.

Carolyne at Glendale is interested. She wants us to give her a budget.

Spoke with Kay - she updated websites with tour info. and capturing email addresses. David moved the lightspeed addresses to mailchimp and wrote down the protocol for it.

I sent an email to Dave about newsletter template in mailchimp so that I can promote tour. Found out there isn't a template so I created.

Lessons learned:
be clear that bikes are included. Give price for please who have their own (Heidi says half).
Be clear that price dies not include ferry fee
Advertise this as an extension of Seattle electric bike
Advertise with CBC and other area publications--early in the year!
Try this again perhaps as a package deal with a local inn.

People at eagles nest inn are super excited. They had guests arriving at the time that I rang their doorbell. Probably Will come To Rent tmrw.

Aug 11th Bekah EOD

I was able to get the key out of EM #4 with ease. The battery wasn't quite pushed in all the way. 

However, I made a huge mistake a broke the spare key on OHM #2 (194). The difference in batteries confused me and the ohm is generally more difficult to remove than the EM, where the key can stay when removing the battery. I won't make that mistake again!

More rental agreements should be prepared for future rentals. We have plenty of rider forms but only 4 rental agreements.

EM# 1 needs to be looked at for servicing. It seems like there is resistance somewhere on the front wheel. Similar to the Ohm that was sent to Seattle to be worked on. 

***update*** 8/12/15 the resistance on EM #1 was the fender which I was able to adjust.

July 9th AM Bekah
Callahan started the day saying that we should move to the Whale Center. There is a space there where we could have other bikes and an office space for $300/month. Every day he confronts me about how this arrangement isn't working for him and hurting his business. 

On the upside, I have been posting on my personal social media accounts including Facebook and instagram (yesterday's post got a lot of attention). I did distribute cards to Bayview where they have a spot for cards along with Blooms who has live music on the weekends and Bayview Farm and gardens which has a lovely place to eat. In addition, hand bills are at Langley Marina and encouraged on Saturdays as the bus in no longer operating.

Gina, would you be willing to put the phone and/or tablet on the charger at night. Both have too little power to be used without being plugged in this morning. I think the phone would be the highest priority.

July 13, 2015 Bekah

I came down to prepare at noon today for a 1pm rental. The customer arrived dissatisfied that we weren't able to accommodate them on Friday when they tried to find us. Not taking cash was another hiccup for them. They were given the Drews list discount with consent from Stefan but were concerned about leaving their handwritten  credit card info. Again after discussing with Stefan we agreed to return it to them after the ride. They were giddy by the time they left.

I'd love support in finding better words to use with customers about the choice to hand write the card information in combine with scanning it. Please advise.

Handwritten credit card info form: people must fill this out. Reassure them we have a shredder upstairs in the office and we will shred the paper as soon as they have returned from the ride, and we have inspected the bike.
This is simply security for us. If you want to tell them something else, say that some rental 

Callahan apologized to me for his behavior last week and shook my hand. We are welcome to be renting bikes out of the back before we get our new space. I put the sign out and talked to two potential buyers and two potential renters for tomorrow morning. 

Customers reported technical difficulties with Easy Motion #2. It shut off three times while going uphill and gave the error code of a triangle. She said it was jerky as she rode. Problems began after an hour of riding.The other rider reported that the saddle bag hit the back of her foot. She really moved the lock to her friends' bag and moved the bag back but still had problems. Despite the challenges, they were happy with their adventure.

One charger left at Callahans. I need the extension cord back and another charger if possible. I'll charge one now and the other in the morning. 

I am sending an email regarding follow up for customer who wants to buy a bike.

July 24, 2015 Bekah

Blog - Info about commons: 
Closing for WIEBR will be earlier than SWC on Fridays and Saturdays when The Commons closes at 7pm. They don't anticipate it being a problem as most people enjoy sitting outside when the weather is nice and the back room is not used much at that time. After

The shredder is upstairs. Brandi suggested we never leave the phone and tablet in the back room, especially when they remain open after we close. I'll put them upstairs with the shredder so they are safe for the night. 

They've asked us to keep the floor tidy in the back as bikes come in and out. Brandi the manager will show Gina where the broom and mop are. After set up each morning, clean floor.

***we need more flyers...it's possible all 500 have been distributed.

July 25 Gina

I didn't mind putting the charges in over night. However since we are a green business I suggest that we do it while we pack up for the day and do during the lunch break (upstairs). This should be more than enough time to recharge.

Callahan came over very upset about his name being used so I requested that Heidi take him off of Facebook, website, etc ASAP. Heidi and I will work on changing card.

Rental contract delivered. In white folder.

Replaced postcards at Saratoga, Star Store, left a couple at Inn at Langley. Need to call to request to leave at Inn and Langley Motel. Nothing at Village Pizza.

Old cards now have white stickers covering Callahan's name and address. Will get new ones but let's distribute what we have to people who come by and know where we are. We'll take new ones to locations and then use them at SWC when we run out of the old.

Stuff in bins and we still need a bin for the helmets and bags to keep them out of the rain.

July 27th Bekah

Visual Voicemail: if someone leaves a message on the phone, it won't show up in the call log or display that we missed a call. Click icon for visual voicemail to check for messages. 

Fyi, Phone was at 40% this morning. I could not hear the ringer while the phone was charging by the window. 

#6 Easy Motion had to be brought back by a rider today because it shut down. We talked about braking and pedaling at the same time but the customer couldn't get the bike to turn back on at all. Eventually, they got it back on but it continued to shut off. I traded them out an Ohm. This happened previously with EM #2. Stefan says we may phase out the Easy Motions. 

July 28th

For operations manual (done):
When charging batteries make sure they are not in the direct sun.

Take batteries out to charge by front window outside. Do not park bikes by window right outside the building. Our agreement with The South Whidbey Commons is to use the bench.

Please remember to put away the sign at closing. 

Do not leave keys in the locks at closing. Put them in the top of the tote with compartments on top. Return to locks in the morning when setting up. 

July 29 Gina

Bikes have been exchanged. No more old easy motion. Two new easy motion (rides bouncy) brands with Bosch motors. The Lapierre is top of the line, superstar in europe. It has torque, case sensing, no throttle. Battery is encased with chain. People feel like superman on this bike versus Om WHICH IS JUST TORQUE and has more of a pushing sensation.  Other one is a different version of easy motion with bosche. Experienced riders go on the Pierre - smoother ride.

There is a special running on Drewslist that allows a solo rider to go out for 2 hours for $35. The first I knew of this what when a renter was upset by the cost when I went to charge her. I'm writing this to let Gina know. If would be helpful if we could be alerted to future specials so we can be in the know when working with customers.

Always greet common’s staff when you arrive. Introduce yourself to them if they haven’t met you yet.

No walking through the kitchen. Use the back door of the kitchen to access the upstairs and the back room. Side door by ice cream is ok to use too.

Got clarity from Heidi about Drews discounts - extending discounts through the season. 30% off of packages, and one hour free off of single hourly rate if they rent for at least two hours.

Update on quick release seats for new Easy Motion bikes: Jonathan (mechanic) has to think about what is possible. 
We are not charging $25 fee for reserations at this time. When we become busier we will revisit this. 
I will be monitoring the phones to see how much power we are using in a day and make charging protocols in relations. How much power does it lose at night if turned off?

We will not be renting the Easy Motion evo streets anymore. However, we can expose people to any Easy motions for purchase if there is interest. The only Easy Motion brand bikes now used for rentals are Xenion middrives bosch city wave. City wave are safer for short term use because less of a learning curve (no throttle). 

We posted a special on Seattle Electric Bike site - summer sale - Evo Streets, All Pedego’s - to find out about pricing, call or come in to seattle store. extends to current stock only. 

The La Pierre in stock is Heidi’s bike. She will be taking it. If we want a Lapierre to rent out Stefan will need to order one or arrange in advance with Heidi.

Ohm #5 wasn't sounding right. It went with Stefan to Seattle to be serviced.

Regarding the choice to store chargers in the pannier, be mindful that they are not waterproof and pool water at the bottom of the bag. I have put them away in a tote for lunch in case it rains. GOOD POINT POINT BEKAH!

Heidi: Ideally, we will have big bin--all I can think of is a rolling garbage bin--I have one I plan to spray paint for lack of a better idea--in there could stored the bags when it rains, and the helmets. Of course the bags neeed an easier on-off system. I have though to extend the velcro--other ideas?

I was able to download lightspeed pos on my personal iPad and can begin entering customer test ride information. However, Stefan and I both were unsuccessful at downloading on the WIEBR Samsung. It seems it may be unavailable for Android. The ones I have entered at marked with an "LS" for lightspeed and placed in a marked folder in the filing tote. 

Heidi brought more rack cards which have been stickered over. There are still plenty of stickers if old cards are continue to be collected.

AUGUST 5 GINA

We now have an operations manual started. It is in draft form and resides in the rental folder. Will be adding to it from home. Much of what is in staff notes will be used to create the manual so keep them coming. Staff notes will be moving to a blog. Details soon.

I have talked to several people today who are visiting and brought their bikes with them. Perhaps our marketing campaign to reach tourists before they get here letting them know about hills and our wonderful solution. 

August 6 Gina

During lunch break keep promo cards out so people can take in our absence! 

August 8 Gina 
Bolt came out of seat securing on bike #1. Stefan notified. 

Make sure that cliff bars are given only to rental customers, not test riders.

Ran into quintessa owners at the parade. Gave them brochures. we need to make a plan to get these out to ALL accommodations sites asap. 

August 9
Quick releases put on xenion seatposts. We need to make sure they are tight and we tell the riders that if they adjust seat during ride then double-check how secure they are.

Console on LA pierre can be removed and placed back on if system isn't working.

Stefan and my brainstorm - we need more visual, I hand out coffeehouse samples, promote cafe and bikes. Stefan will talk to brandy. We want to help make the cafe reach its potential. Something like a bubble machine would be good to attract.

Heidi: blog is ready--I invited you both to be authors, so hope that works. It works awesome for the shop. We can put docs and checklists relatd to Operatons Manual in the blog as well for easy reference.
Sorry Gina, I forgot you were going to make the spray and I bought a spray bottle when I was shopping at the coop in Seattle with my 10% off coupon.
